MeisterTask 101: a beginner’s guide

Staying on top of team projects can be challenging. Thankfully, the right work management tool can make a world of difference.  By providing a secure, centralized space for your projects, tasks and documentation, MeisterTask helps you keep your work organized and your team aligned.

The best news is: you’ve already taken the first step to success by signing up to MeisterTask (or thinking about it!). Now, it’s time to get to know the ins and outs of the tool, from setting up your account to making the most of its key features and functionalities.

Getting started with MeisterTask

This chapter is all about laying strong foundations. We'll walk you through the essentials of setting up your account, inviting team members, understanding roles and permissions, and personalizing your dashboard to match how you work best. 

Let’s get started.

1. Register/create your account

To begin using MeisterTask, you'll need to create an account:

  1. Visit the MeisterTask website and click on the Sign Up button

  2. You can register using your email address, or sign up with your Google, Microsoft or Apple account

  3. Follow the on-screen instructions to complete the registration process

Once registered, you will have access to the MeisterTask dashboard, a central hub where you can create projects, manage tasks and collaborate with your team.

2. Inviting your team

imageA MeisterTask team brings all of your team’s work into one place, so nothing falls through the cracks. Instead of chasing updates across emails and chats, everyone has a clear workflow to follow. Tasks are assigned, priorities are visible and progress is transparent. This makes it easier to collaborate and get things done.

By inviting your team to MeisterTask, you:

  • Create a single source of truth where tasks, updates and files are easy to find

  • Improve accountability by assigning clear responsibilities

  • Streamline communication with task comments and real-time updates

Creating and collaborating with your team in MeisterTask is straightforward:

  1. Click on your user avatar in the top-right corner of the interface and select Account from the drop-down menu

  2. Navigate to the My Team section

  3. Click the Invite button and enter the email addresses of your team members

  4. Select which Meister products you would like to invite your team members to use

  5. Click Invite to send an email invitation to each of your colleagues

3. Access and permissions

imageKeeping a team organized is not just about assigning tasks. It is also about making sure the right people have the right level of access. Not everyone needs full control, just like not everyone gets the keys to the shop.

With MeisterTask you decide who can do what to ensure that work stays secure and structured. 

At the account level, you can select which team members have admin rights. When you make someone an admin, they’re able to manage user roles, licenses and billing information. Learn more about admin rights

You can also create user groups within your MeisterTask team. This allows you to quickly share (and unshare) projects and notes with a specific group of users within your team. Read more about user groups 

4. Getting to know the sidebar

imageThe sidebar is your navigation hub, giving you and your team quick access to the tools you need to stay organized and keep work moving. Instead of jumping between different screens or searching for updates, everything is right where you need it.

From the sidebar, you can easily:

  • Access your projects and tasks in one place

  • View personal assignments and upcoming deadlines

  • Open notes to track important documentation

  • Check reports to monitor progress and team performance

  • Search for specific tasks, projects or discussions

The sidebar helps you stay focused by keeping key features within reach so you can move between tasks without losing momentum.

You can also collapse or expand the sidebar to suit your workspace. This can be done in two ways:

  • Click on the three-line icon in the top-left corner

  • Use the “M“ key as a shortcut

5. Exploring the dashboard

imageNow that you’re familiar with the sidebar and how to navigate through key features, it’s time to explore the dashboard — your central hub in MeisterTask. Your dashboard gives you an overview of all your work in one place, making it easy to stay on top of tasks, projects and deadlines. Whether you need to check priorities, customize your workspace or track progress, the dashboard is designed to keep everything organized and within reach.

  • Access your ongoing tasks, projects and notes in one place

  • View upcoming deadlines to help prioritize tasks effectively

Customizing your dashboard

imageYou can also add your personal touch to your dashboard to better fit your working style and preferences. Here’s how:

  1. Click your user avatar in the top-right corner

  2. Select Appearance from the menu

  3. Adjust section sizes and task tile information to create a workspace that suits your needs

Reordering projects for better organization

To keep important projects easily accessible or to prioritize them, you can reorder them in your dashboard:

  1. Navigate to the dashboard

  2. Click Projects in the left sidebar

  3. Drag and drop projects into your preferred order

Managing account details

imageKeep your profile and credentials up to date by managing your account settings:

  1. Click your user avatar and select Account

  2. Navigate to the Me section to update details such as your name, email or password

Staying updated with notifications

Keeping up with work should not mean constantly checking for updates or worrying about missing something important. MeisterTask’s real-time notifications ensure you always know what needs your attention, helping you focus on the right tasks at the right time.

Instead of wasting time refreshing pages or searching for updates, you’ll be alerted when something requires action, whether it is an urgent task, a comment from a team member or a project update. You also have full control over which notifications you receive, so you can filter out the noise and focus on what truly matters.

To view your notifications:

  1. Navigate to the dashboard

  2. Switch between the All, Mentions, Projects and Notes tabs to view activity

  3. Mark as read to close the notification alert

Customizing your notifications helps prevent overload, making sure they remain useful rather than overwhelming. You can customize notification settings under Preferences to control alerts.
