Kilen Baltic is a young, innovative manufacturer of precast concrete elements based in Latvia. Founded in 2020, the company specializes in producing high-quality concrete wall components for residential and industrial construction. 

As a growing organization, Kilen Baltic quickly recognized the need for clear, connected workflows to support both its office and factory teams. 

From the outset, the company’s leadership, represented by their CEO Roberts Kaufins, set out to establish transparent processes that would enable efficient collaboration, precise time tracking, and reliable project management across all areas of the business.

From complex CRM to the search for a simple solution

Before adopting MeisterTask, Kilen Baltic relied primarily on Excel tables to manage tasks and processes. While spreadsheets provided a basic level of organization, they lacked the structure and transparency needed for a modern manufacturing environment. 

The company also had no dedicated tool for managing meetings or following up on action items, making it difficult to maintain oversight and accountability.

In an early attempt to digitalize operations, Kilen Baltic invested significant time—over a year and a half—trying to implement a complex CRM and accounting system with integrated production management. 

However, this approach proved too detailed and cumbersome for the team, especially for employees working on the factory floor. 

We realized a complex CRM would never work because we would first need to input so much detailed information and learn how to use it at the same time. That’s when we started looking for alternatives and found MeisterTask, which was the easiest and quickest to implement.

The experience highlighted the need for a simple, accessible solution that could be adopted quickly by all employees, regardless of their technical background or work location.

Rapid deployment: up and running in just a few days

Faced with the limitations of previous tools, Kilen Baltic’s CEO personally evaluated 20 to 30 different software solutions over the course of one to two weeks. 

The selection criteria were clear: the new tool had to be easy to use, quick to onboard, and offer robust time tracking capabilities—especially important for a workforce that included older, non-office-based employees.

It was very important to have time tracking for our factory employees, and the tool needed to be simple to use for everyone.

After extensive testing, MeisterTask stood out for its intuitive interface and rapid deployment. “It was absolutely the easiest software to use and the quickest to implement,” says Kaufins.

Onboarding was straightforward and fully self-serve. The team did not require external training or customer success support, and the platform was up and running within a week—sometimes even just a few days.

Efficiency across the office and factory floor

Today, all 20 employees at Kilen Baltic use MeisterTask, both in the office and on the factory floor. The platform serves as the backbone for a wide range of workflows, supporting everything from administrative tasks to complex production processes.

Project management and automation

In the office, MeisterTask boards are used to manage administration, track general factory questions, oversee equipment and vehicles, and handle recurring manual tasks such as storage and backups. The integration of email-to-task functionality is particularly valued.

We really enjoy the email integration—just forward to column and directly create a task from an email, and everyone can see the linked request.

Project planning is streamlined with automated checklists and task automations, covering the entire lifecycle from offers and quoting to approvals, production, and feedback. 

Time tracking and production control

On the factory floor, MeisterTask is used to log time spent on specific processes such as formwork preparation and concrete pouring. 

Five dedicated computers with individual Chrome profiles ensure that workers can access their tasks and drawings without the need to log in each time. 

This setup enables real-time tracking of hours worked and provides management with the data needed to monitor project progress and make timely adjustments.

We had a project that was running over its estimated hours, but with MeisterTask we identified the issue, adjusted, and finished on time. Even our investors were impressed.

Administration and recurring tasks

Beyond project work, the office team uses MeisterTask to document technical information, share routines, and manage knowledge through the integrated Notes feature. This ensures that important information is accessible to all team members.

Future-proofing production with AI and an open mind

Looking ahead, CEO Roberts Kaufins and Kilen Baltic remain committed to continuous improvement. To drive further efficiency and transparency, the company is actively exploring new technologies. This includes testing Meister's AI features and investigating API access to further analyze production data and optimize workflows.
